Maintenance Letter for use with Your Customers!


All too often we hear consumers say, “My air conditioner has been in for 7 years without a call for service.  Why did my compressor fail?”

Most modern air conditioners are operating under much tighter tolerances than they did 20 years ago. These units are operating at much higher efficiencies (S.E.E.R.) and are being asked to deliver the maximum amount of work for the least amount of electric consumption.  Therefore, any deviation from optimal field conditions can have detrimental effects on the performance and life of the unit.

All manufacturers recommend, at least, annual inspection of the air conditioning system.  The purpose of this inspection is to allow the mechanic to run the system and check refrigerant flow, electrical consumption, outdoor air flow, indoor air flow, and much more.

Do I really need this “clean and Check” done annually? With the amount of air pollutants we have in the the air today, a unit can become “clogged” with dirt and debris in less than a year.  Add cottonwood fluff to the equation, and the unit can become clogged in a matter of a month. You want to make sure your unit is operating efficiently.

If I don’t have the inspection made, what can I expect? Without annual maintenance, you can expect loss of cooling capacity, premature component failures, lack of humidity removal, compressor failures, higher than necessary electric bills, and possibly, excessive repair bills.

Keep in mind, car manufacturers recommend changing your oil and filter every 3000 miles.  Failure to do so could void your warranty, plus, you can ruin your car’s engine.

You get an annual physical exam, eye exam, and dental care.  Why? It’s less expensive than the alternate cost.

If you expect your high-efficiency air conditioner to perform for years, a small investment in preventative maintenance pays for itself – in electric bills, in repair cost, and in frustration.

Have you dealer check out your comfort system now, don’t wait for hot weather.  Most contractors will be extremely busy then. Have your unit checked in the “off season”, such as early spring. You will get better attention then, and the technician won’t be rushed.  This service will go a long way to keeping you comfortable, and worry free.

Feel free to print this out and use with your customers, as a sales tool for maintenance contracts, or just to explain why thing happen.

  1. Pretty good except for the oil change part. High efficiency synthetic oils have pushed oil changes to 10k miles in many cars and many consumers know it.
